Location -  Noida Sec 63

Salary -  40k to 60k  (Depends on interview)

Experience - Minimum 4 Year  


JOB RESPONSIBILITIES


1. Executive Support:

Calendar Management: Organize and manage the executive's calendar, scheduling meetings, appointments, and travel arrangements.

Communication: Act as a point of contact between the executive and internal/external stakeholders, including handling phone calls, emails, and correspondence.

Documentation: Prepare and edit reports, presentations, and other documents for the executive.

Meeting Support: Attend meetings, take minutes, follow up on action items, and coordinate internal communications.

Travel Arrangements: Plan and organize business trips, including flight, hotel, and transportation bookings.

2. Project Coordination:

Project Planning: Assist in the creation of project plans, timelines, and deliverables. Collaborate with teams to ensure all aspects of the project are aligned with goals.

Task Management: Oversee daily project activities, ensure tasks are completed on time, and monitor the project’s progress.

Stakeholder Communication: Coordinate with different departments, vendors, and external clients to ensure smooth communication across all project stakeholders.

Documentation and Reporting: Maintain project documentation, track changes, and produce regular project updates or reports for the executive and stakeholders.

Problem Solving: Identify potential project risks or roadblocks and work to resolve issues with the team or escalate as needed.

3. Administrative Functions:

Expense Management: Track and process the executive’s expenses, manage invoices, and assist with budgeting and financial reporting related to projects.

File Management: Maintain and organize files, both physical and digital, ensuring easy access and retrieval of important documents.

Event Planning: Assist in planning and organizing company events, conferences, and team-building activities as required.

Office Management (if needed): Assist with overseeing office-related tasks such as supply management and vendor coordination.

Skills & Qualifications:

Educational Background: Bachelor’s degree in business administration, project management, or a related field.

Experience: 3-5 years of experience as an Executive Assistant, Project Coordinator, or similar role.

Project Management Tools: Familiarity with project management software (e.g., MS Project, Asana, Trello) and strong proficiency in Microsoft Office (Word, Excel, PowerPoint).

Organizational Skills: Strong multitasking abilities, with excellent time management and attention to detail.

Communication: Strong written and verbal communication skills.

Problem-solving: Ability to think critically, solve problems proactively, and handle multiple tasks in a fast-paced environment.

Confidentiality: High level of discretion when dealing with sensitive and confidential information.
